Chatbot for Business: When It Is Enough and When It Is Not

A simple chatbot is enough when visitors ask a small set of repeat questions and the answers rarely change. Once you want it to collect details, route enquiries or act inside your other tools, you are describing a receptionist or an agent, and the scoping, testing and approvals need to grow with it.

Three levels

Bounded chatbot

It answers a fixed list of questions from approved text, then offers a contact route. It does not take actions. Its limits reduce the scope, but the answers still need testing. Check unsupported questions, ambiguous wording and the route to a person before relying on it.

Written-enquiry receptionist

It greets, asks agreed questions, records details and passes the right items to a person. It works in writing only and does not answer telephone calls. See the page on an AI receptionist for written enquiries.

Agent inside your tools

It can read from and write to systems such as your inbox, calendar or spreadsheet, within permissions you agree. That brings more usefulness and more need for monitoring and approval.

Choosing

  • If the same ten questions fill your inbox, start with a bounded chatbot.
  • If you lose time collecting details before you can quote, consider a receptionist workflow.
  • If details must move into other systems, discuss an agent, one job at a time.

Hypothetical worked example

Imagine a yoga studio whose website visitors keep asking about class times, mat hire, parking and beginners. A bounded chatbot with a reviewed answer list handles those, with a link to the booking page for everything else. Months later, the owner wants new-student enquiries logged and a welcome note drafted. That is a bigger job, so it is scoped separately: which tool holds the list, who approves the note, and what the studio will not say automatically. The studio is invented, and the first step could well be enough for years.

What Dean builds

Dean builds AI agents and written-enquiry workflows installed in the tools a business already uses, with handover to a person. It is not an off-the-shelf chatbot widget and does not answer the phone. If a plain widget meets your need, use one.

Testing and approval

Whichever level you choose, test with real questions, include ones outside the list, and make sure the bot says when it does not know. Keep a route to a person visible at all times.

Questions people ask

Can a chatbot answer every question?

No. It should answer what it has been given and hand over the rest.

Will it work on WhatsApp too?

Possibly, depending on the account and permissions. See WhatsApp follow-up.

What does it cost?

Costs depend on scope and are agreed once it is clear.

Talk it through

Discuss your own workflow.

Bring one repeated task. Costs are agreed after the scope is clear, and no result is promised in advance.
