A Written-Enquiry AI Receptionist: What It Can and Cannot Do
An AI receptionist, in the sense described here, handles written enquiries: web forms, email and messages in channels you agree. It does not answer live phone calls. It greets, sorts, collects the details you need and passes the right things to a person.
What it does well
- Acknowledges a message and says what happens next.
- Asks the questions you would ask anyway, such as service, location and preferred days.
- Answers common questions from information you have approved.
- Sorts messages by type so urgent or sensitive ones reach you first.
What it should not do
It should not guess when it lacks information, handle complaints on its own, or answer anything that needs professional judgement. Those cases go to a person with a short note of what has been said. If you need someone to pick up the telephone, that is a different service and is not offered here.
Hypothetical worked example
Imagine a small hair salon that receives booking requests through a web form and social messages. The agreed receptionist workflow collects the service wanted, the preferred stylist, and two preferred days. It replies with approved wording that the request has been received and the salon will confirm. It never confirms an appointment itself. The salon owner sees a tidy list each morning, picks slots, and sends confirmations. Anything mentioning a reaction or a complaint is flagged straight away. During testing the owner feeds in old messages, including one with misspelt service names and another asking for a refund. This scenario is invented.
The knowledge it relies on
Write a short, current list of opening times, services, areas covered and what you cannot do. Keep it in one place, and review it when anything changes. An out-of-date list is the commonest cause of wrong answers.
Approval and monitoring
Begin with every reply reviewed. Relax that only for the narrow categories that behave consistently over a sensible period, and keep sampling afterwards. Results depend on your tools, the access they allow, the scope agreed and how it is monitored, so instant replies at every hour are not promised.
Questions people ask
Can it answer the phone?
No. This is for written enquiries only. It does not provide a live phone-answering service.
Will customers know it is automated?
That is a choice to make openly. Many businesses say that a message is an automated acknowledgement and that a person will follow up.
What about out-of-hours messages?
The workflow can acknowledge them and queue them for you, within the tools and approvals agreed.

Discuss your own workflow.
Bring one repeated task. Costs are agreed after the scope is clear, and no result is promised in advance.
