Your First AI Agent Workflow: Start With One Job

A small business should start with one agent doing one clearly bounded job, with a person approving anything that matters. Good first jobs are repeated weekly, follow a visible pattern, and cost little if a draft is wrong.

What makes a job suitable

  • It starts from a clear trigger, such as an email arriving or a form being completed.
  • It ends with a clear output, such as a drafted reply or an updated sheet.
  • The information it needs already sits in tools you use.
  • A mistake can be caught before a customer sees it.

Jobs that depend on judgement, sensitive data or complicated exceptions are poor first choices. Leave them until the simple one has proved itself.

Define the agent in one paragraph

Before anything is built, write down what the agent reads, what it may produce, what it may never do, and who looks at the result. If that paragraph runs to a page, the job is probably too big for a first workflow.

Hypothetical worked example

Imagine a small bookkeeping practice that spends part of each month chasing clients for missing receipts. The one first job is this: when the month closes, the agent compares a client’s bank lines with the receipts received, then drafts a short message listing what is missing. It cannot send anything. The bookkeeper reads each draft, edits it, and sends it personally. During testing, the practice runs last month’s records through the workflow and checks every draft for wrong matches. The agent never sees login details for banking. This scenario is invented to show the shape of a first workflow.

Testing and approval

Test with real but anonymised examples, including awkward ones. Decide in advance what counts as a pass. Keep the approval step in place until you have seen enough drafts to know where the weak points are, and review it again if tools or access change.

What depends on your setup

What can be automated depends on which tools you use, what access they permit, the agreed scope, and how it is monitored. There is no blanket promise of instant replies, autonomous quotes or guaranteed bookings.

Questions people ask

Do I need special software?

Not always. The first step is to check what your existing tools can support, then agree the setup.

Can the agent send messages by itself?

Only if that is agreed, tested and monitored. Many first workflows stop at a draft for a person to approve.

How do I know it is working?

Compare its output with what you would have done on the same examples, and keep reviewing a sample after it goes live.
