ChatGPT for a Small Business: Draft, Then Review

The practical way to use ChatGPT in a small business is to let it produce first drafts and then review every one before it is used. It is good for wording, structure and ideas; it is not a source of facts you should publish unchecked, and it should not be given private customer data without thought.

Jobs that suit a draft-and-review habit

  • Replies to common customer questions, in your own tone.
  • Outlines for a web page, newsletter or social post.
  • Summaries of long emails or meeting notes.
  • Checklists, job descriptions and simple procedures.
  • Rewording a message that came out too blunt.

Give it what it needs

Tell it who the reader is, what you want them to do, the tone, and any facts it must use. Paste in a good past example and say so. Ask it to flag anything it is unsure of, rather than fill gaps.

Review before use

Check names, prices, dates, claims and anything legal or technical. If the draft states something you cannot verify, delete it. Read it aloud once; if it does not sound like you, change it. Keep a short note of prompts that work so others in the business can reuse them.

Hypothetical worked example

Imagine a small cleaning company that wants a clearer page describing its end-of-tenancy service. The owner pastes in a list of what is included, the areas covered and a short paragraph in their own voice, and asks for a draft page and five customer questions with answers. The owner then removes a sentence that implied a guarantee they do not offer, corrects the service area, and rewrites the opening. They also save the prompt for next time. No customer names or addresses are pasted in. The company is invented.

Protect private information

Check your account settings and the provider’s current terms on how data is used. As a habit, leave out passwords, client records and anything you would not want to see published, or use anonymised examples.

When to go beyond the chat window

Copying and pasting works for occasional tasks. If the same job recurs daily and touches your inbox, calendar or spreadsheets, a built workflow with testing and approval steps may be worth discussing. What is possible depends on your tools, access and the scope agreed.

Questions people ask

Do I need a paid plan?

That depends on how often you use it and which features you need. Try the basics first and see which tasks stick.

Can ChatGPT run parts of my business by itself?

Not from a chat window alone. Connecting it to your tools is a separate, scoped piece of work with approvals.

Will it make my website rank?

Unreviewed AI text will not reliably help. Nothing is promised about ranking or being cited by AI tools.
