AI for Trades: Coordinating Each Stage of a Job
For a trades business, AI is most useful when it keeps a job moving between stages, from enquiry through survey, quote, booking, work and invoice, rather than answering a single message. Each stage has a small, checkable admin task, and a person decides anything that affects price, safety or the customer relationship.
Think in stages, not in tools
Most trade jobs pass through the same handful of points. At each one something usually has to be written, chased or recorded:
- Enquiry: note the details and who it came from.
- Survey or visit: confirm the date and what to bring.
- Quote: prepare it for your review, and prompt a chase if it goes quiet.
- Booked: send agreed reminders and update the diary.
- Completed: prepare the invoice details for your approval.
You do not need to automate all of it. Pick the stage where jobs most often stall.
Hypothetical worked example
Picture a flooring contractor who loses track of quotes during busy weeks. The chosen workflow watches a simple job board. When a quote is marked as sent and nothing has changed after the number of days the contractor chooses, it drafts a polite check-in for approval. When a job moves to booked, it prepares a reminder note for the customer about access and moving furniture, again for approval. It makes no promises about price or fitting time. The contractor reviews the first two weeks of drafts and adjusts the wording. This is an invented scenario to illustrate the idea.
Boundaries that matter
The AI should not give technical, safety or compliance advice, quote prices unprompted, or commit you to dates. Keep those with you. Also decide what customer details the workflow may store and who can see them.
Testing before use
Run last month’s jobs through it. Check that every stage change creates the right draft, nothing fires twice, and a stalled job is spotted. Fix those gaps before anything reaches a customer.
Questions people ask
Do I need a job-management app?
Not necessarily. A tidy spreadsheet or board can be enough if it shows each job’s stage. What is possible depends on the tools you already use.
Can it send quotes?
It can prepare details for you to review. Sending a quote without your approval is not assumed and would need to be agreed, tested and monitored.
Is this only for large firms?
No. A sole trader with one repeated stall point can gain from a very small workflow.

Discuss your own workflow.
Bring one repeated task. Costs are agreed after the scope is clear, and no result is promised in advance.
