AI Business Consultant: Scoping the Commercial Problem

An AI business consultant should start with a commercial problem, such as slow replies, lost quotes or late invoices, and scope a project around it. If the first conversation is about technology rather than your business, the project may be solving the wrong thing.

State the problem in business terms

Good statements are specific and observable: enquiries wait too long for a first reply, quotes go quiet without a chase, invoices are prepared late. Avoid statements that begin with a tool. Ask what the problem costs in time, in lost work or in stress, without inventing numbers. Estimates from your own records are useful; guesses are not.

What a scope should contain

  1. The problem and the single outcome you want to improve.
  2. The workflow that addresses it, and what is deliberately left out.
  3. The tools, accounts and access required.
  4. The approvals that stay with people.
  5. How the result will be tested and measured.
  6. Support after handover, and what the agreed cost covers.

Hypothetical worked example

Imagine a small training provider whose course enquiries sit unanswered over weekends. The consultant asks what is lost: some enquirers book elsewhere, and Monday begins with a backlog. They agree a narrow project: acknowledge each enquiry with approved wording, ask which course and start date the person wants, and place a summary at the top of Monday’s list. Out of scope are price negotiation and booking confirmation. The measure is how many enquiries have had a first reply by Monday morning, counted from the provider’s own inbox over a trial period. The provider is invented, and the same approach would apply to any similar problem.

Constraints to surface early

  • Data you cannot share or store.
  • Tools that do not allow the access needed.
  • Staff time available for review.
  • Rules your sector places on customer contact.

Agreeing the boundaries

Write down what the project will not do. This protects both sides and keeps the first build small. Costs are agreed after the scope is clear, and nothing is promised in advance about results.

Where Dean fits

Dean is based in Horndean, Hampshire, and scopes projects remotely across the UK, with visits in Hampshire and the immediate surrounding area by agreement.

Questions people ask

Do I need a clear problem before I call?

No, but one repeated frustration helps. The scoping conversation can sharpen it.

How is success measured?

Choose a measure you can count from your own records before the project starts.

What if the best answer is not AI?

Then a good consultant should say so.
