AI Admin Automation: Reviewing Documents and Spreadsheets

AI can take on repetitive document and spreadsheet admin, such as extracting figures from PDFs, tidying records and preparing summaries, as long as a person reviews the results. The review is the safeguard. Treat AI output as a first draft that needs checking, especially where numbers are involved.

Good candidates

  • Pulling dates, amounts and names from supplier PDFs into a sheet.
  • Standardising how addresses, product names or job references are written.
  • Spotting duplicate rows or missing fields.
  • Writing a short summary of what changed in a sheet this week.

Poor candidates

Avoid anything where a silent error would be costly and hard to spot, such as final payment figures, tax returns or legal wording. Use AI to prepare and flag, and keep the final decision with someone accountable.

A review routine that works

  1. Define the layout the output must follow.
  2. Have the workflow mark anything it is unsure about instead of guessing.
  3. Check every row at first, then a sample once it settles.
  4. Keep the original files untouched alongside the result.

Hypothetical worked example

Imagine a small events-hire company that receives supplier invoices as PDFs and logs them in a spreadsheet. The agreed workflow reads each PDF, fills in supplier, date, reference and total, and highlights any row where it could not read a value or where the total does not match the line items. The office manager reviews highlighted rows first and checks a handful of the rest. In the first fortnight every row is checked against the PDF. The workflow does not pay anything or send anything to the accountant. This is an invented scenario.

Data and access

Decide which folders and sheets the workflow can see, and keep passwords, client records and anything sensitive out of test material. Use fictional or suitably anonymised examples while testing.

What affects the result

Document quality, the tools you use, the access they permit, the scope agreed and how the workflow is monitored all matter. Costs are agreed after scoping.

Questions people ask

How accurate is AI at reading documents?

It varies with document quality and layout, so test on your own files and keep a human check on anything important.

Can it update my accounts software?

That depends on what the software allows. Often it is safer to prepare a file for you or your accountant to review first.

What about scanned or handwritten pages?

They are harder to read reliably. Test a sample before deciding whether the task is suitable.

Discuss your own workflow.

Bring one repeated task. Costs are agreed after the scope is clear, and no result is promised in advance.
